Patient Services and Accounting System (PSAS)-Vrindaban (Status: Ongoing)

Background

The accounting software in development is designed to address the accounting needs of Ramakrishna Mission Sevashrama Hospital (RKMS), Vrindaban. The hospital has two major departments IPD and OPD Departments, currently our application handles IPD Departemnt.

IPD has Children Ward (15 beds), Female Ward (44 beds), Nursery Ward (8 beds), Male Ward (46 beds), Maternity Ward (18 beds), Maternity Private Ward (3 beds), ICU (5 beds), Private Ward (10 beds) and Shared Private Ward (16 beds). All charges are heavily discounted. The Hospital operates with minimum process overhead and heavy discounts are given at various steps through free slips. The staff and management manage the scene with jolliness and good humor.

Approach

We adopt the agile software development process to achieve better requirement understanding, faster delivery and cater to changing requirements. The software has been rolled out successfully. Oracle Database Express Edition is being used as the development framework.

Project Scope

  1. To develop an accounting software which will automate the billing process at the IPD and collection counters. This will in turn help in partially automating the budgeting and auditing processes.
  2. Incorporate easy transitioning between manual and automated handling of patient services accounting,
  3. Provide role-based access control to staff in-charge to waive service charges and issue free slips.
  4. Work with imprecise information recorded during patient visits to generate meaningful aggregate statistics regarding discounts offered and services provided The last aspect could greatly help RKMSH in adopting a more pro-active role in improving services to better serve the needs of patients and the community.

Key Challenges

  1. It should be least disruptive to the current running of hospital as there is shortage of staff.
  2. Should be able to fallback to manual system in case of system failures and synchronize the data at a later time.
